For concessions, i would like to ask everyone that you pick up an item or two on your next trip to Costco or Sams when you go and post what you got here. i will still try to get donations from a food store, but this way at least we will have something for the show. if you are planning on baking something, please post that as well.
if you have a spare ice chest and can loan it to us for the day, please let me know as well. There will be no cooked items available, but i would like to have hot coffee/tea available, if anyone has one of those commercial brewers that we could use, that would be great.
Suggestions: individually wrapped items (if you should get muffins from Costco this is fine, i would like to avoid party bowl items such as chex mix and such that you grab with your hand)
fresh fruit (bannanas, oranges, apples)
bottled water, pop, fruit drinks
ice
coffee (no instant) Doesn't Starbucks donate boxed coffee?
coffee accessories
tea and their accessories
napkins

Amy- I will commit to baking at lesat 4 dozen assorted baked goodies to sell.
I have also contacted essential baking company, trophy cupcakes and balzing bagels to request in-kind (goods) donations.
I don't want to duplicate efforts... who have you talked to food-store wise? I would be happy to contact trader joes and my local safeway if you haven't done so already.
I was just at costco yesterday but will start stocking up as I go between now and show date.

I just dropped off a donation request letter to Trader Joes yesterday. As I understand it, they will only donate one basket per group per year and it goes through their area office so I think we've got that covered.
I've also contacted: Cash & Carry Delightful Treats Proficient Foods
and the local distributors for: Sara Lee Coca-Cola Fritp-lay and Tim's Cascade Style Chips
They've each been asked to donate items for the concession stand and the Biggies got a sponsorship package as well.
But I'd say DO approach any local contacts that any of you may have who might be willing to donate. Wouldn't it be wonderful to have so much that we actually had to donate left overs to a homeless shelter or other charity?

COOL, COOL You guys are great. I will be contacting Top Foods in Woodinville and will approach a Starbucks to see how that would work. I can ask QFC and Albertson's as well. I could do PCC too. COSTCO is only giving us $25.00 so the more the better. If needed, I will donate some funds to smooth things out, that is if I can stop rescuing horses - DOH!

A couple of suggestions came through for Costco type items that people can pick up.
Oreo Cookies Chips Ahoy Cookies Famous Amos Cookies Grandma Variety Cookies
PB/Cheese Crackers Chips Mike & Ike Candy Red Vines (not the tub) Cliff Bars
Things we don't want are gum, sunflower seeds and things that leave a mess.

It's probably also noteworthy to make sure they are snack size: like 4 - 6 medium sized cookies per package rather than the bulk family size with a zillion cookies per package. They should be individual portioned packaged like you'd get at a convenient store.
We should also probably have multiples of the same items rather than 1 case each of several different items.
How about some feedback on the list...anyone have concession experience with little league or the like and do these things sell well? It's been several years since I've had kids in sports so I'm trying to think back. Sunflower seeds always sold well but left a huge mess around the grounds. Trying to be kind to a clean-up crew to be named later; we'd like to leave the place better than we found it right? Or is that the old scout thing rearing it's funny little badge wearing head?
All of these items were found at the Costco business center in Fife. I'm pretty sure that allot of it is also available at a normal Costco near you or Cash & Carry, etc...
If you find something new/better than the above list just make sure it makes business sense: How much does it cost per unit? how much can we sell it for? and how much more money will we make from the investment? I like the idea of spending/donating $10 on a case of something and turning around and selling it for $30-$40 at concession stand prices to earn an extra $20 - $30 for SAFE. The only item that was more than $10 (as I recall) was the Chips...those were $19.99 for the case, but you got 60 units of product in it...so that still leaves a pretty good profit of $40 if you sell the chips for a buck apiece.
Keep those kinds of things in mind when shopping for concession items you wish to donate.

I also think that someone offered to bake: Personally, I think that's awesome! It does make it an urgent sale because there isn't a case of home made replacements waiting behind the counter...that's it! Get it while you can! YUMMY...too bad I can't eat them That could also be something that we might consider is having our non-horsey friends that want to do something bake for us...cookies, brownies, anything that can sell individually. In fact, I might just commit to a few batches of cupcakes myself!

I was considering making a batch of home-made horse goodies too. Maybe we could sell those too? Then when people want to get something from concessions for themselves, they could get a fresh treat for their equine friend too. Think those would sell at the show? I'd be happy to do it if they'll move!

I picked up a case of water today (35 count)
Other things I noticed they had that looked like good things and things I remember looking forward to at shows as a kid: "peny candy" (like individual boxes of runts, laffy taffy, etc prolly stay away from chocolate that will melt $10 a bag), fruit snacks ($10 for a case of 36), they also had lots of individually wrapped items. I think it would be fine to have a variety but that's just me. Powerbars, granola bars, chips, and such are also great bets.
Does anyone have one of those big cooler drink dispenser thingies? I would be happy to donate a costco sized can of lemonade mix if someone has one of those.
I offered to home-bake stuff but am not sure how everyone feels about that? I will commit to 4 dozen sumthin-or-others (tbd) if you are interested.
ETA: I also picked up 2 cases of soda at Safeway. Now's a great time to stock up because all the stores are having 4th of july sales.
ETA again: I have an easy up that can be borrowed for the day and also a small ice chest that I could loan. I also have 2 fold out chairs if those would be useful.
Right now I have to donate: 35 water bottles 24 reg coke 24 diet coke

I was looking over the paperwork for Bridle Trails, and they mention that we will need to have Health Dept permits in place for the concession booth. Can one of you volunteer to look into that for us?? Please??

From a cursory reading, it appears that "home-prepared" foods can not be sold.. but I don't have much time to delve into it until I get back on Monday. It also looks like there are exemptions. Does anyone have a WA Food Handler's card?
